We are looking for an experienced professional with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks providing polite and professional assistance via phone mail and e-mail making reservations or travel arrangements and generally being a helpful and positive presence in the workplace.

To be successful as an administrative assistant candidates should be professional polite and attentive while also being accurate. They should always be prepared and responsive willing to meet each challenge directly. The candidate must be comfortable with computers general office tasks Microsoft Office and verbal and written communication. 

Qualifications

  • Associate’s degree in a related field.
  • Prior administrative experience.
  • Excellent computer skills especially typing.
  • Attention to detail.
  • Excellent knowledge of MS Office Word and Excel.
  • Willing to develop skills outside existing experience.
  • Ability to prioritize and multitask.
  • Detail and deadline oriented.
  • Strong verbal interpersonal and written communication skills
  • Must be willing and able to contribute to a team environment while also possessing the capability to perform work independently when necessary. 
  • Ability to concentrate for lengthy periods and perform accurately with adequate speed.
  • Must be coachable teachable and flexible.
  • Excellent typing skills.
  • High level of integrity and customer focus.
  • A strong passion and desire to help others.
  • Applicants must possess a valid driver’s license.
  • Employment may require a satisfactory criminal record and motor vehicle record search.
  • Employment may require drug and alcohol screening.
  • Bilingual English/Spanish preferred but not required.

Essential Functions

  • Handling office tasks such as filing generating reports and presentations setting up for meetings and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements.
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports transcribe minutes from meetings create presentations and conduct research.
  • Greet and assist visitors.
  • Maintain polite and professional communication via phone e-mail and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Accurately respond to inquiries with a high degree of respect in a professional and courteous manner.
  • Build rapport with the clients.
  • Handling additional duties from time to time.

Physical Requirements

The Administrative Assistant is required to meet occasional physical demands. These include but are not limited to standing for long periods of time walking longer than average distances and possess the ability to carry and lift equipment up to 30 pounds. In addition the Administrative Assistant will occasionally be required to work in outdoor weather conditions.

Schedule

The  office is open Monday through Friday 8:00 AM – 12:00 PM and 1:00 PM – 5:00 PM except for recognized holidays. The position requires a minimum of a 40-hour work week as determined by the supervisor to allow the employee to fulfill the assigned duties and responsibilities. Certain functions of the position may require travel weekend and evening hours work schedules.
